This policy explains how the CoachOn Tennis app ("the app") handles information. The app is provided by CoachOn Sports ("we", "us"). If you have any questions, contact us at sportscoachdev@gmail.com.
CoachOn Tennis is built to keep your information private. Everything you create in the app — players, scores, matches, notes, goals, photos and videos, drawings and crops, drill diagrams and lesson plans — is stored only on your own device. We do not run accounts or servers for your coaching data, we never receive it, and we do not sell or share it. There is no advertising inside the app, and no advertising identifier or cross-app tracking. We do use anonymous analytics to understand how the app is used — this is described below — but it covers app usage only, never the coaching content you create. The one exception is the optional Live match sharing feature: if you choose to share a match live, that match's data (the players' names and every point) is uploaded to our cloud so people with the link can follow it, and is deleted shortly afterwards — see "Live match sharing" below.
When you use the app you may create information such as:
All of this is saved locally on your device using your browser's on-device storage. It stays on your device unless you choose to export it or back it up yourself. We have no access to it.
You add photos and videos by choosing existing files from your device's library; they are saved into that player's media on your device and are never uploaded to us or to any third party by the app. You can also record a spoken voice note over a photo or video — this uses your device's microphone, with your permission, and the recording is stored on your device only.
Cropping a video or photo in the app is non-destructive: the app stores the crop framing and applies it when the media is shown, without sending the media anywhere.
We do not require you to create an account, and the coaching content you create (players, scores, matches, media and so on) is never collected by us or sent to any server we control, as described above.
Separately, the app uses Google Analytics for Firebase (a Google service) to collect limited, anonymous information about how the app is used, so we can improve it and understand how people find it. This may include:
The app does not use an advertising identifier and does not track you across other apps or websites. This information is processed by Google on our behalf for analytics only, it does not include the coaching content you create, and we do not use it to identify you personally. Google's privacy policy is at policies.google.com/privacy.
The app lets you share individual items — such as a player, drill, match, drill diagram or lesson plan — as a file, and import files that other people share with you. Sharing uses your device's own share options (for example, the system share sheet, a messaging or email app, or saving to Files); the app does not send these files to us or to any server we control. When you import a file, its contents are copied onto your device and are then yours to manage. If a shared file contains information about other people, the responsibilities described under "Information you enter about other people" apply — you should have an appropriate basis to hold that information.
Live match sharing is an optional Pro feature that lets you broadcast a match as you chart it, so other people can follow it live in their web browser at coachontennis.com/live. It is off until you choose to start it, and you are asked to confirm before a match goes live.
When you start a live session, that match's live data is uploaded to and stored on Google Firebase (Cloud Firestore), a Google cloud service, so viewers can receive it. This data is limited to what is needed to show the match: the two players' or teams' names, the format, the running score and each point as you chart it (including, where recorded, how the point ended, the shot and the rally length). It does not include your match notes, photos, videos or any other player information. You can switch on "Hide surnames" when you go live so that only each player's first name and last initial (for example "Olivia B.") is shown.
A live session is viewable by anyone who has the link. The link contains a long, unguessable code, so it will not be found by chance, but there is no further password — treat the link as private and only share it with people the players (or their parents or guardians) are happy to be seen by. Make sure you have their consent before sharing a match live.
Live data is temporary. When you end a session — or when the app ends it automatically (shortly after the match finishes, after a period of inactivity, or after a maximum time) — the viewer page stops showing the match and the stored record is scheduled for deletion, typically within about an hour. A session that is left running is removed within a few hours. We do not keep live match data long-term.
When someone opens a live link, their browser signs in anonymously to Firebase (no account, name or email) so that the page can show a live viewer count. This stores only a random anonymous identifier and a recent timestamp, which are deleted along with the session. Viewers are not identified to you or to us.
This feature is provided by Google Firebase; Google processes the data on our behalf to deliver it. Google's privacy policy is at policies.google.com/privacy.
The app may offer an optional paid upgrade ("Pro"). Any purchase is processed by the app store you installed the app from (for example, Google Play or the Apple App Store) under that store's own terms and privacy policy. We do not receive or store your payment details. The store may share with us limited, non-identifying information confirming whether a purchase or entitlement is active so the app can unlock paid features.
The app uses a small number of third-party services:
Aside from the analytics information, any purchase confirmation, and the live match data described above, these services receive only the standard technical information needed to deliver the app to your device. Except when you choose to share a match live, none of them receive the coaching information, photos or videos you create, because that never leaves your device.
The app shows no advertising inside it, uses no advertising identifier, and does not track you across other apps or websites. We use only the anonymous in-app analytics described above to understand how people find and use the app. We do not sell your information.
Whether you are a coach, a player or a parent, you may record information, photos and videos about other people — for example the players you coach, your practice partners and opponents, or your own child. You are responsible for that information and for having an appropriate basis to record it — for example, the agreement of the person concerned or, where that person is a child, of their parent or guardian. Because the data stays on your device, you remain in control of it at all times.
The app is intended for use by adults — coaches, adult players and parents — and not by children directly. We do not knowingly collect any information from children. Any information, photo or video recorded about a young player is stored only on the device of the adult who recorded it, as described above. If you record information or media about a minor, you are responsible for obtaining the consent of their parent or guardian.
You stay in control of your data. Within the app you can export a backup file, restore an on-device snapshot, or clear all data. The app may also keep automatic on-device backup snapshots to help you recover from accidental loss; these are stored on your device only. Removing the app from your device, or clearing your browser's storage for the site, will delete the data held on that device. Because we never receive your data, deletion is something you carry out on your own device, and you are responsible for keeping your own backups. The only data we ever hold is the temporary live-match data described under "Live match sharing", which is deleted automatically after a session ends.
Because your data is stored on your device, its security depends largely on the security of your device (for example, your device passcode and your own backups). Any backup files you export are your responsibility to store safely, as they contain the information you created in the app.
We may update this policy from time to time, including as the app gains new features. When we do, we will revise the "Last updated" date above. Significant changes will be reflected here on this page.
